Job Title: Program Coordinator

Division: Mission Services

Department: Career Services

Reports To: Director or Vice President

FLSA Status: Exempt

SUMMARY

Supervises and coordinates activities of the Career Services Programs to ensure the implementation of a high-quality program that meets all applicable requirements and contract goals. Directly supervises designated program and staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Assigns caseloads and related duties. Coordinates activities of staff in providing Employment and case management services to assist program participants in obtaining gainful employment.

Assures that all aspects of the program's contractual requirements are met, including but not limited to the following:

  • Maintains accurate and complete documentation for program participant tracking, reporting, milestone achievement, and billing purposes. Submits accurate billing on a

monthly basis by the prescribed deadlines.

  • Coordinate activities so programs meet enrollment and milestone achievement goals to ensure the sustainability of the programs.
  • Develop and review the training curriculum on a regular basis to make sure training

programs are competitive and current.

  • Develop external relationships through business engagement and collaborating with other community resources and training providers.

Counsels participants individually or in groups as planned or on an as-needed basis, and in emergencies. Provides case management and support services for participants as needed.

Supervises all program staff. Assists staff members in analyzing operational and training problems and in meeting the goals of the program.

Review all client case records, individual plans, and goals on a regular basis to ensure the quality of service and implementation of plans are met. Conducts monthly and quarterly audits of program documentation as prescribed by agency and program policy and procedure.

Evaluate the performance of staff on an ongoing basis and recommend indicated action. Trains new employees in areas such as agency policy, department procedures, and agency or

government regulations.

Provides in-service training for employees in areas such as new policies, procedures, and regulations. Conducts and/or directs staff development programs.

Participates in developing and implementing agency policies. Analyzes program performance and makes recommendations for program improvements to the supervisor.

Represents the agency in the community, interagency activities, and with funding sources. Develops and maintains partnerships with community agencies to facilitate the coordination and provision of services to assist clients with their employment and training goals.

Prepares and completes internal and external reports as required by the agency and/or funders. Verifies that data is correct and submits to supervisor and program specialist in a timely manner.

Ability to deal effectively with difficult and on occasion, irate participants. Demonstrates ability to de-escalate individuals with tact and understanding.

Responsible for accessibility reports, outcome management reports, satisfaction surveys, and meeting CARF accreditation standards.

Monitors budget to stay within program and operational guidelines.

Provides experienced and competent leadership in carrying out the policies and procedures of the agency and the program through interagency and interoffice teamwork.

Ensures supervisor is briefed and advised of program and staffing issues and concerns. Works on projects or tasks assigned by the supervisor for the improvement and enhancement of program quality and outcomes.

Participate in and support agency initiatives or events such as Goodwill Goes Glam, VITA, and Financial Literacy training.

Communicates professionally with supervisors, coworkers, program participants, State reps, and other stakeholders involved in service provision. Develops positive relationships and resolves any conflicts professionally and expeditiously.

Understands and supports implementation of concepts related to self-determination for consumers.

Conducts work in a safe and responsible manner, utilizing protective clothing and/or equipment when appropriate. Complies with all safety standards.

Responsible for awareness of and adherence to all company and safety policies and procedures.

Ensures that client confidentiality is maintained in accordance with contract, State, and Federal law including HIPAA.

SUPERVISORY RESPONSIBILITIES

Directly supervises Program staff and is responsible for the overall direction, coordination, and evaluation of designated programs. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, making recommendations for hire, and training employees; educating staff on contract goals of the programs; maintaining compliance with Goodwill policies and philosophy; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor's degree from accredited college preferred and two to four years of management experience, preferably at a community service organization, or equivalent combination of education and experience. Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook. Supervisory experience preferred. For position requiring working with immigrants, Human Services experience within the immigrant community preferred.

LANGUAGE SKILLS

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Periodic travel is required, must have a valid driver’s license and access to an insured vehicle.
